What you'll be doing

Candidate/vacancy administration

    • Provide full administrative support to the permanent / contract recruitment process to include, but not limited to, requesting and co-ordinating all necessary paperwork and documenting all stages of the recruitment process on the relevant Optamor system(s).
    • Work in conjunction with relevant team members on administrative tasks within the eploy system.
    • Contractor care – for referrals and direct Optamor contractors including extension management, care calls etc. in support of the Sourcing Specialists

System administration

      • Daily use of Eploy eRecruitment system for the management of both contract and permanent vacancies.
      • All relevant recruitment activity to be added to Eploy / activity spreadsheets as appropriate for review meetings / SLA purposes.

Supplier administration

      • Co-ordinating recruitment activity with second tier suppliers as required including, but not limited to relaying interview, providing feedback
      • Assistance in the contractor extension process.
      • Ensuring paperwork received back from agencies is scanned and attached to relevant system records for both Optamor and Serocor Solutions as required.
      • Assistance in the set-up of quarterly review meetings including diary management, room bookings, presentations, reports, agendas etc.

Customer responsibilities

      • Assistance in the set-up of quarterly review meetings including diary management, room bookings, presentations, reports and agendas etc.
      • Assistance in the contractor extension process as appropriate.
      • Ad hoc general administration duties as required.

New project responsibilities

      • Assist Head of Partnership and Delivery Services Manager as appropriate in the novation of direct and agency contractors and temps in line with agreed client implementation plans.
      • Supplier / direct contractor placements and extensions to be set up on relevant Optamor systems and ensuring all relevant legal and compliance paperwork is in place.
      • Assistance in ensuring all relevant contract paperwork for Optamor, Customer and Suppliers has been returned and is saved as appropriate in the relevant Managed Service folders and on relevant Optamor / Serocor Solutions systems.

General administration

      • Where applicable receive and action tasks from personal mailbox in Request@optamor.com
      • Getting annual H&S update from Customer.
      • Ensuring data including, but not limited to site maps / relevant Customer information
      • updated accordingly on relevant Optamor systems.
      • Support to Service Delivery Manager as required.
      • Administrative support to the Bid & Marketing Executive as required.
      • Ad hoc general administration duties as required.

Customer / site specific duties - Lockheed Martin

      • Where appropriate issue and co-ordinate all regular offer paperwork and liaise with Lockheed Martin HR on completion of offer paperwork
      • Liaise with Lockheed Martin Security on ensuring paperwork is compliant and candidates are cleared within a timely manner.
      • Monitor and report on Lockheed Martin internal recruitment movement to the HR Operations Manager.
      • Monitor and respond to all applicants that apply through CV3, Recruitment and Student mailboxes
      • Provide administrative support for the industrial trainee programme.
      • To add and maintain vacancies on the internal and external Lockheed Martin websites.
